Purpose and Summary

This Policy outlines the conditions for reappointment, resignation, and termination of Graduate Assistants/Associates (GAs) at the University of Arizona (University).

Scope

This Policy applies to all Graduate Assistants/Associates (GAs) and all Units.

Definitions

Graduate Assistant/Associate (GA) means a graduate degree-seeking student employed by the University to assist with teaching, research, or outreach activities. GA is an umbrella term encompassing Graduate Teaching Assistants/Associates (TAs), Graduate Research Assistant/Associates (GRAs), Graduate Outreach Assistants/Associates (GOAs), and Graduate Assistant, Head Residents.

Unit means any University college, school, department, program, or other operating unit.

Policy

A. Reappointments

  1. Reappointments are contingent upon available funding from the Unit and are not guaranteed.
  2. In order to maintain the GA position and be eligible for possible reappointment in future semesters, graduate students must:
    1. maintain satisfactory academic progress and/or progress to degree;
    2. maintain a cumulative GPA of 3.0 or higher;
    3. be a degree seeking student; and
    4. satisfactorily complete their assigned duties.

B. Resignations

  1. GAs are required to tender a letter of resignation when leaving their position before the end of their appointment contract (e.g., degree completion, withdrawing from the University, changing from salary to hourly, or changing status from student employment to faculty or staff).
  2. GAs will submit the letter to the appropriate Unit representative for completion of a termination report.

C. Terminations

  1. GAs may be terminated before the scheduled end of their appointment for poor performance, resulting in lost benefits and charges to student accounts.
  2. Supervisors should notify GAs immediately if their work does not meet expectations.
  3. Units should reach out to the Graduate College for assistance and advice on steps to resolve the situation prior to termination.
  4. When GA appointments end early, the GA generally will owe charges due to withdrawal of benefits. It is strongly advised that the Unit and/or the GA contact the Graduate College at gahelp@grad.arizona.edu to determine the financial implications of an early termination.
